Please take a few minutes to read these, they are for everyone’s benefit.

Confirmation of Booking and acceptance of terms

Please note that confirmation of the booking details and agreement to our terms and conditions is binding upon our receipt of your initial deposit. Please therefore ensure that all the details are correct.

Arrival and Departure

  • Normal booking dates run Friday to Friday.
  • Check in is from 4:00pm. Please arrive after 4pm and leave by 10:00am on the day of departure.
  • Keys will be in key safe on the side of your pod.
  • Arrival days and times outside of this can be arranged where possible at the time of booking.
  • Early check in is available from 2pm. You can add this when booking or by email if you decide later. The cost is £30.00 and is subject to availability.
  • There will be no refunds given for early departure for any reason whatsoever.
  • Guests are asked not to invite visitors during your stay with us.

Damages and Breakages

  • We pride ourselves on being approachable and friendly with high standards of customer service. There is always someone around to assist. If you have any issues with your accommodation during your stay, please let us know and we will do our best to resolve them.
  • We all know that accidents do happen. We would ask that you please report any maintenance issues, breakages or damage immediately, so that we can sort them out for our next visitors.
  • Please note that major damage or breakages will be charged for (other than reasonable wear & tear).
  • An inventory for each pod is provided in the welcome pack, and you should check this on arrival. Items that are missing, broken or damaged during your stay will need to be paid for. We will make a charge from your security deposit for all items not paid for prior to departure. Guests agree to inform us of any damage or loss however caused.
  • Calmwater Hideaway Ltd reserves the right to enter the pod at any reasonable hour to carry out any necessary repairs.

Hot Tubs

Instructions on using the Hot Tubs are provided in the pod. Please note that we cannot accept any liability for accidents caused when not following the guidance listed below.

  • The Hot Tub is on at all times, please do not unplug.
  • Children should be supervised at all times. It is advised that children under 5 do not go into the hot tub.
  • Please note there is a step up into access the hot tub. Do not walk on the gravel to the sides and behind the Hot Tub
  • If your accommodation or outside equipment, including hot tub, is left in an unsatisfactory condition or damaged, you will be charged appropriate costs from your deposit. If the repair cost exceeds the £200 deposit you agree to pay the balance. We will provide an invoice which must be paid within 28 days.

Please follow the rules listed below to provide yourself and future guests an enjoyable experience:

  •  Please don’t use glass in the hot tub, use the plastic glasses provided (if glass gets broken around or in the hot tub let us know immediately as it will need to be drained as soon as possible and you won’t be able to use it again until it has been refilled and reheated)
  • Please don’t wear fake tan, make up, deodorant, skin oils in the hot tub.
  • Please don’t add anything to the water.
  • Please don’t smoke while in the hot tub.

Pets

  • We are happy to welcome well behaved small dogs for an additional charge but kindly ask that they be kept on leads at all times as the pods are located on a working farm with livestock. We also ask that you respect the neighbouring properties and future guests by cleaning up any packages your pet may leave appropriately!

Liability

  • Personal property is your responsibility, and we will not be liable for any belongings lost or damaged during your stay, or for any personal injury.
  • No liability is accepted in respect of loss or damage to any member of your party, car or contents. Whilst every effort is made to ensure that the details included on the website both for the lodge and other local attractions are accurate and up to date, no liability is accepted in the event of subsequent change.
  • Children should be supervised by parents at all times.
  • Any accidents must be reported as soon as is practically possible.

Lost Property

  • Please note that it is your responsibility to ensure you take all your possessions with you at the end of your stay. Any items which are left and unclaimed within one week will be given to charity. Please note postage will be payable in advance on any items you wish to be sent to you via Royal Mail.
  • This is a quiet and peaceful site. Please keep noise levels to a minimum at all times in consideration of other guests. Quiet hours are between 11:00pm and 7:00am. Speakers / Music players/radios must be kept to a reasonable volume and switched off by 11:00pm. Please respect your fellow guests by keeping noise levels to a minimum after this time.
  • The pods are sited in natural woodland, and appropriate care should be taken. We take our Health and Safety responsibilities very seriously and ask visitors to respect our safety rules and make themselves aware of the surroundings during daylight hours.
  • Smoking is strictly prohibited in the pods. If there is evidence of smoking this will result in you forfeiting your deposit. We do allow smoking on the decking area and can provide an ash jar. Please don’t put cigarette ends in the pod bin. There is a smoking area by the gate with a bucket to dispose of these.
  • No candles or naked flames permitted on site.
  • The fire pit supplied may not be moved for safety reasons. Only timber purchased from us can be burnt on the fire. Timber is provided in a lockable box and is charged at £10 per bag which will be taken from the deposit at the end of the stay.
  • To help protect our Dark Skies environment and animals and ensure everyone’s safety and enjoyment, fireworks are not permitted, and any use of fireworks may result in a fine from the council.
  • Please observe the site speed limit, which is 5mph throughout the site.

Good Care Condition

The main thing we ask is that good care is taken of the lodge and its contents during the course of your stay. We would ask that you leave it as far as possible in as good a state as you find it.

These rules are for the benefit of everyone and to ensure you have an amazing stay with us. Unfortunately, if you ignore them, you may be asked to leave, no refunds will be given, and you may lose your deposit.

And lastly, please show respect and consideration to other glampers. Anti-social behaviour will not be accepted, and we reserve the right to terminate your stay at any point if this is breached, without a refund.
